Brahmaverse.ai (“Brahmaverse”, “we”, “our”, “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Services.

Please read this policy carefully. By using our Services, you consent to the practices described herein.

2. Information we collect

We collect information you provide directly:

  • Account information: name, email address, organisation name
  • Contact form submissions
  • Billing and payment information (processed via secure third-party providers)
  • Communications with our team

We collect information automatically:

  • Usage data and interaction logs with our AI agents
  • Device and browser information
  • IP address and approximate location
  • Cookies and similar tracking technologies

3. How we use your information

We use collected information to:

  • Provide, operate, and improve our Services
  • Process transactions and send related information
  • Train and improve our AI agent models, using anonymised data only. This never applies to Google user data — see Section 5
  • Send service communications and product updates
  • Respond to customer support requests
  • Comply with legal obligations

4. AI agent data processing

Our AI agents (Hansa, Chitralekha, Vajra, Varuna) process business data on your behalf as a data processor. You remain the data controller for all personal data processed through our agents.

We implement appropriate technical and organisational measures to protect data processed by our agents. Agent-processed data is not used to train our models without explicit written consent, except Google user data, which is never used to train our models under any circumstances, with or without consent — see Section 5.

5. Google user data

When you connect a Google Account to our Services (for example, to enable Varuna’s scheduling and messaging features), we access the following Google user data via Google APIs, with your explicit authorisation:

  • Gmail — to read, compose, and send emails on your behalf for scheduling, candidate, and workflow communications you initiate through our Services
  • Google Calendar — to view, create, and update calendar events for interview scheduling and appointment management

This data is used solely to provide and improve the specific user-facing features you request (e.g. sending an email, booking a meeting). We do not use Google user data for serving advertisements, and we do not transfer Google user data to third parties except as needed to provide the requested feature or as required by law.

Google user data is never used to develop, improve, or train generalised or non-personalised AI and/or machine learning models. Access to Google user data is limited to what is strictly necessary to perform the actions you request, and is protected using the safeguards described in Section 10.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Data sharing

We do not sell your personal data. We do not sell or share Google user data with third parties for targeted advertising, market research, or any other unrelated purpose. We may share data with:

  • Service providers who assist in operating our Services (under strict data processing agreements). This does not include Google user data, which is shared only as described in Section 5
  • Integration partners (e.g. WhatsApp) when you connect these services
  • Law enforcement or regulators when required by applicable law

7. Data retention

We retain personal data, including Google user data, for as long as necessary to provide our Services and fulfil the purposes outlined in this Policy. Account data is deleted within 90 days of account closure upon request, and you may revoke our access to your Google Account at any time via your Google Account permissions page.

8. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your personal data
  • Restrict or object to certain processing
  • Data portability

9. Cookies

We use cookies and similar technologies to improve user experience, analyse traffic, and personalise content. You can control cookie preferences through your browser settings. Disabling cookies may affect Service functionality.

10. Security

We employ industry-standard security measures including encryption in transit and at rest, access controls, and regular security assessments. However, no method of transmission over the internet is 100% secure.
